CLEVELAND, Feb. 7, 2013 /PRNewswire/ -- Last August the Mutual of Enumclaw (MOE) announced its successful use of Hyland Software's OnBase enterprise content management (ECM) to automate ACORD forms processes. The insurer has recognized continued value from its OnBase solution working towards becoming paperless a paperless institution by completing a massive imaging backfile conversion. Executives at MOE have recognized the success of the project awarding employees and Hyland's skilled Imaging Services team for completing the backfile conversion with millions of documents in five months.

In June 2012, MOE initiated a project to image all active files, which includes more than 200,000 customer policies, in order to further improve its productivity and work towards its paperless goals. Five months, and more than 5.6 million documents later, Mutual of Enumclaw has presented its employees with an award for the successful completion of its backfile conversion, and newly created paperless environment.
The success of MOE's imaging project goes further than becoming paperless. The project enables MOE to efficiently manage business records while protecting all corporate information assets. "Now that we have our information in electronic form, we can access it immediately at the touch of a button," said David Wilson, MOE's Chief Information Officer. "When our customers call, we can access policy information and answer their questions in real time rather than calling the customer back after retrieving the file."
MOE has reduced the number of steps in the process for personal lines from 11 down to two. It has also decreased the time it takes to quote additional umbrella layers on a current policy. A process that was once long and tedious, today only requires a few mouse clicks, giving agents the information they need in the same day and helping MOE stay competitive by delivering decisions to customers faster.
"Our imaging services team was able to help MOE decrease the time it takes to approve new business by 600 hours and save more than $12,000 dollars in paper costs. This will help MOE stay competitive by providing information to employees, policyholders and agents in a timely manner," said Ruth Fisk, Hyland's senior analyst for insurance. "We have partnered with MOE to help it continue that success and plan to work with MOE on its next project in its two year plan – automating records management and retention."
Hyland's imaging services team worked onsite with MOE, to quickly import and index its massive amount of backfile documents into OnBase. "Hyland's imaging service professionals were extremely helpful. Their dedication and commitment to excellence was what helped us complete a large amount of work ahead of schedule," Wilson said.
