Government Agencies Score Efficiencies, Awards with OnBase
Maricopa County, Arizona, wins NACo award, eight others win at Digital Counties - with help of the document management system
CLEVELAND, Aug. 3 /PRNewswire/ -- Growing populations. Shrinking revenues and staffs. How can government agencies do so much more with so much less? Enter Maricopa County, Arizona. It's dealing with a historical low 3.3 employees per 1,000 citizens. On top of that, the extra workload was being managed manually, meaning slow moving paper and processes. Rather than just accept the situation, the county, like many other governments with similar problems, turned to the document management software suite, OnBase. The results have been impressive – automated processes, eliminated need for outsourced paper storage and much happier citizens. In fact, they've been so impressive that Maricopa County and eight other OnBase-using counties have recently won awards.

"The challenges in government today are pretty overwhelming," said Mike Bilardo, director of government solutions for Hyland Software. "But using the right software is a proven way to deal with some of the problems. Just look at what Maricopa County has done by working with partner OSAM and the OnBase software. Their finance and administration department made more than 1.3 million documents electronically available across 55 county departments. Now, instead of taking days to find documents, it's a mere 10 seconds. That's an exponential improvement in efficiency, not just for the finance department, but for all of the county's departments – and their citizens."
For an entry titled "Electronic Document Management Program," Maricopa County, Arizona, won a 2010 Achievement Award from the National Association of Counties (NACo). The award was in the category of "Financial Management."
"Our original goal was focused on improving service for citizens," said Gina Denney, finance manager for Maricopa County. "That goal was met, and very successfully, but the improvements didn't stop there. Thanks to the right document management software, we can now offer more of what citizens are demanding: transparency and accountability. Yes, they're a bit less tangible than shorter wait times for services, but in the long run, having a clear view of our financial performance and consistently passing audits translates to more effectively used tax dollars."
Also, as announced at this year's NACo annual conference, eight OnBase-using counties were named 2010 Digital Counties. These included:
- County of Orange, Calif.
- Westchester County, N.Y.
- Ottawa County, Mich.
- Dakota County, Minn.
- Washtenaw County, Mich.
- Yuma County, Ariz.
- Mohave County, Ariz.
- Napa County, Calif.
