After implementing Workfront, the Arkansas Administrative Office of the Courts (AOC) improved its productivity at meetings, gained 360-degree project visibility, and reduced eleventh hour struggles to meet project deadlines from 60 percent to 10 percent.
The Arkansas AOC is tasked with implementing technologies and services that improve the operations of the state's judicial branch. Within the AOC, a Project Management Office (PMO) assesses IT needs and requests from the courts before initiating a project and designating one of its four project managers. While new technologies have enabled the Arkansas court system to streamline document processing and improve case management, rising demand for digital services resulted in an increase in project deadline delays and last-minute surges to meet 'go-live' schedules.
'All hands on deck' scrambling to meet project deadlines
Prior to Workfront, the PMO used a file-sharing network and email for communicating information on work presented in Microsoft Project. But it proved impossible to track current document versions and keep team members informed about project assignments and details. As a result, issues that went unresolved during the project brought progress to a standstill as the team approached the 'go-live' deadline.
According to Alex Rogers, head of the AOC Project Management Office, "We'd have 'all hands on deck' fixing issues, and that was extremely stressful for everyone involved. I'd estimate that happened about 60 percent of the time. Another 20 percent of the time, we'd have to extend the timeline. We needed a better solution."
Implementing Workfront has enabled the Arkansas AOC to standardize its project management process by using Enterprise Work Cloud templates. The PMO can now easily update the templates as processes change, and can also accommodate unexpected projects by getting developers rapidly up to speed without impacting other work in the queue. Workfront also empowers project managers to efficiently communicate with the right team members from the start: they can tag specific individuals in order to send status updates, change dates, and ask questions.
