Published in partnership with Osterman Research, the report examines the full range of cost factors ─ including those that are often overlooked ─ such as the cost per user of maintaining legacy, on-premise archives being significantly higher than cloud alternatives.

"When comparing the cost per user of managing on-premise vs. cloud archiving solutions, companies often lack the full picture," said Scott Whitney, SVP Product Management, Actiance. "Costs are often distributed across different IT buying centers and spread over time, such as storage and replication investments. However, this study shows that, with all factors considered, archiving in the cloud is much more cost-effective, even for companies with deeply entrenched on-premise infrastructure and data volumes."
The study researched 73 organizations with an on-premise deployment of Enterprise Vault (EV), an average of 14,244 employees, and a median of 50 terabytes of storage devoted to the EV environment. Among its many findings, the study showed that:
Storage is the largest cost variable. Companies are storing an average of 35 GB per email archive user, incurring an average total annual cost for ongoing storage capacity and maintenance of $447,000 at $8,950 per TB ─ even higher for firms greater than 10,000 seats. This high volume of data per user highlights the cost of the common practice of 'keeping everything forever' ─ including data from departed employees.
System replication is a major cost driver. Due to the critical nature of business communications being stored, most organizations maintain a fully replicated Enterprise Vault environment, and 54 percent of those surveyed said the cost of replication is equal to or exceeds that of the primary EV environment.
Cloud-based alternatives can significantly reduce archiving costs. Cloud-based archives, which provide fully-managed services and allocate the costs of hardware, software, storage, replication, and infrastructure across multiple clients, can significantly reduce total cost of ownership by 50 percent or more relative to the cost of procuring and maintaining an on-premise Enterprise Vault system.
